Smart Doc/E-Signature to Trigger Automation

I'd like to be able to trigger an automation based on a completed e-signature in smart docs.

Example: Proposal and Contract is sent to customer, the customer signs via Pipedrive e-signature. Pipedrive marks the document as completed... this should trigger automations such as mark deal as won or send a Slack notification to the team that the document has been signed for billing to collect payment.

    Hello,

    It is sad that you can't create a workflow like this:

    1. Trigger
    2. Smart doc is created
    3. Email is created
    4. Smart doc is attached to the email
    5. Email with attachment is sent

    With this I could just move a deal from stage to stage and an email with an offer would be sent automatically. Super hot feature as it would save so much time!

    Thank you for your suggestion @Maciej , this would be a dream type of automation indeed! 🤩

    At the moment we have no news about this, as priorities and resource allocations for development have to be distributed and unfortunately not everything can be built or at least built in the near future.

    Have you tried setting up a trigger such that when you move a deal across the Kanban board it will trigger a smart doc to be processed and sent. Although I take your point this is a bit hacky.

    We would love to be able to trigger a workflow automation with a signed Smart Doc.

    Signed document (trigger) ➡ workflow steps

    Examples of tasks we'd queue up for the team once we have a signed contract:

    • Notify rest of team
    • Notify accounting for invoice creation
    • Setup onboarding call
    • etc

    I can't see a way to do it with PD automations atm. 

    We use Pandadoc to send out 'Authority to Leave' forms for our customer deliveries.   When the customer signs the documents and returns with any special instructions, we populate custom fields on the deal object in PD.  

    I can't see a way to trigger PD's automation on a discrete field(s) content but it can be done using zapier.  .. I would checkout zapier if you haven't already.  .. much more powerful.  .. at least until PD's triggers evolve and become more mature.

    The smart docs eSignatures are a great way to streamline clients' signing on proposals and quotes.

    However currently we can't get a trigger from Pipedrive (either in Workflow automation or via API / Zapier / Integromat) when a document has been signed.

    Having such an automation trigger will enable to kickstart onboarding workflows automatically once a contract has been signed by all parties inside Pipedrive.

    Could anyone else make use of such an automation trigger?

    Just adding another voice to this call. Lack of triggers/workflow on document signing is a massive miss.

    Exactly David! The entire idea of Pipedrive is to "make sales smarter", and without triggers for signed documents, we are back to manual work, and data-checking compared to a workflow, that automatically notifies a team member or even starts an onboarding process. That could be "sending out an email" or "create new project".

    Would love to have some movement on this.

    Currently having to use 3rd party automation and trigger when deal moves stage, then search the google drive folder for specifically named file, then continue with automation.

    Would love if there was someway to list documents created in a deal via API

    We are all using Pipedrive to close deal. A deal is closed when a contract is signed (some would say that it's when the money is in the bank, but I won't debate this). Anyway, the most important thing for me is when a client signed a contract. This should be a trigger. Otherwise, the contract functionality is way less usefull than Docusign or PandaDocs.

    Hi there,

    yes this is an good idea. The docusign feature is also not available on zapier etc.

    But I think there can be a workaround for you: You get always a email if everyone has signed the document. You can use a filter on you mail-server and redirect this mails to an zapier email parser for example. So the trigger is the parsed mail and then you can start you automated workflows from this.

    Of course its not possible only with pipedrive but zapier is a must have for me. :)

    The Docusign trigger is definitly available with Make.com.

    If you like Zapier, have a look at Make.com or n8n.io (way cheaper)

    Good idea for the email, will do.

    Haha yeah. Sorry I mean for the docu signing tool in PD (smart docs) is no trigger :)

    the Parser will work. I use this for some customers already.

    Seconding this. Having automations that can happen once the customer signed would be huge. Anything from emailing our accounting team to initiate billing cycles, notifying project managers, or activating the warehouse to begin working on materials. Please add this

    Long process

    Using third party automation, figured out where pipedrive places the documents and files. Created an automation outside pipedrive that is triggered when deal is moved to a stage that searches for that document based on specific naming pattern I use.

    [DEAL_ID] - Proposal


    It's annoying, they haven't created a basic automation/webhook for this. At very least an endpoint to see documents attached to a deal would be great.

    Having more trigger and action options in the Automation would be amazing.

    I want to have a trigger option for when a document is signed and from there I can setup actions to send an email to the accounting as well as another one to an SDR, then create an asana task for another person and so on, to basically automate ~4 hours out of our work schedule.

    @Damjanbiz in the absence of this trigger, you can still build most of the automation you're talking about through a user performing one manual update. For example, when a document is signed, you could have a user update a custom field "Contract Signed" to "Yes" or move the deal into a new stage (e.g. Contract Signed). This field update and/or stage change could trigger and email to the SDR, an email to accounting, create the Asana task, etc.

    If you're open to using a different signing tool - for example, PandaDoc, there is the "Document Signed" trigger and this could be fully automated for you.
