Hey, Pipedrive Community! 👋 

We know the importance of following up on a new prospect in a timely manner and ensuring that the right person is making that first contact. 

I’m excited to announce that we’re starting to rollout Automatic Assignment to allow you to automate opportunity routing so you and your team can follow up faster and increase conversion! 


🚀 What is Automatic Assignment? 

Automatic Assignment enables you to automatically assign leads and deals to specific people or distribute them within a team based on conditions you define and set as rules. 

You can assign newly created leads and deals, as well as deals that move into a new stage or pipeline. You can define custom rules and define their priority so they perfectly fit your sales process! 

🚀 Who has access? 

Automatic Assignment will be included from the Professional plan. 

You must have Deals App admin access in order to set up the feature. 


🚀 Where can it be found? 

You can find Automatic Assignment under the “more” menu in the side bar or the settings menu. 

We are rolling out the feature to customers in batches. Expect to find it in your account by the end of April!

    Any way to set this up based on location? We have regional account managers that are assigned leads based on countries they are coming in from, and while we do technically have a field collecting that information in our web forms, people tend to not be too accurate with what they are entering all the time.

    Is there the possibility of a map that you can cover leads coming in from a specific area and assign that to one person? Based on IP address, etc.?

    You could do this using existing workflow automation capabilities in Pipedrive.

    You just need to add a custom address field to the Deal.

    Hi @Ryan Cudmore! Great question. If you have a custom field that captures that information, you can set up a rule with a condition based on that custom field. Rules can be set up based on any default or custom field related to the deal or lead. There isn't a way within the Automatic Assignment feature itself to capture this information however.

    Is this feature available or just announced as coming soon? I am my company's admin and have a professional license with Lead Booster, etc. enabled, but do not see an Automatic Assignment option under Settings

    Hi @Ticowegian! The feature is now available for all customers on Professional and higher plans. You should be able to find it in your account now. Please let me know if you have any issues.

    Am really excited to start using this, however we need to be able to set a time delay on deals being allocated which isn't currently possible. Would be great if this could be added in :)

    @Michael Schmid_59907 Hi! This is great feedback, thank you! Could you elaborate on why you'd need a time delay? Currently, there's a 10 second delay between a lead or deal being created and assigned by Automatic Assignment to allow any automations to run first.

    Historically Pipedrive has recommended Routerjet to provide this functionality. RouterJet provides many customizations over Automatic Assignement. Some advanced features over the basic assignment are:

    • Escalation: if an agent doesn't respond to a lead within a set time, the next agent will be notified. Prevent leads from going cold.
    • Alerts: agents can be assigned leads by SMS, WhatsApp, Slack or Email.
    • Weighted Distribution: customize what percentage of leads go to which agents. This is useful for allowing high performers to manage more deals. Also commonly used to limit the number of deals to new agents when they're getting started.
    • Scheduling: Set working hours for each team member. Prevent leads from going to agents who are off-shift or on vacation.

    Hey @Natasha Kupusovic,

    We do deduplication and lead classification prior to assigning leads. This usually takes no more than 30-60 minutes, but we currently assign (through a Zapier workflow) based on a Pipedrive filter where deal was created yesterday to make sure enough time goes by. Without this delay, we often mark deals as lost after they've been assigned as they end up going to email nurture programmes or are de-duplicated. Happy to set up a call and run you through why we need this if it's any help.
