Automation nightmares!

So we are avid uses of automation to make a business run smoothly and have around 25 set up. This ensures that we need less staff, less things to go wrong and makes this more efficient. However, I just learned that there is no ability to automate an email from the deal owner UNLESS,  we recreate every single automation for every single member of staff.

Surely, this is absolutely crazy and defeats the object of being able to automate in the first place. It's fine if you are a solo user or freelancer but if I want to create a whole workflow that for instance sends an email from the deal owner and this  would be a very common scenario, and you simply can't do this.

Is this not basic stuff and is why we have to use Calendly Via Zapier for our demo bookings - so loads of restrictions around core and basic functionality that appears to have been skipped? Am I missing something? Help!

@Stephen Phillips do you have specific questions about your process that you need help with, or your looking for a consultant to help you get through the crazy and make some sense of it?

No need for a consultant as we deal with email marketing and automation - but this does not work as it should...Thanks

Hi @Stephen Phillips thanks for sharing your frustrations with us, this is how we improve. So if I understand you right the functionality you're looking for is as an Admin to be able to set up workflow automations for other users that users that users email address to send out the email that is triggered in the automation right? Just double checking before I share the feedback with our teams here.

Hi Mike, thanks for your input and yes. I don't believe that we should have to create and replicate every automation in every account. So, for example I should be able to create an automation whereby if anyone in my organisation moves a stage in a pipeline or wins a deal, it can trigger a workflow that involves an email going out from the owner of that contact. For instance, If a deal is one and there are next steps and email can go out to the contact from the deal owner congratulating them and advising them of next step's. Currently my options are to either send them out from me who that person has probably never heard of or I have to replicate every automation in every account which seems a little bit crazy. Hope that makes sense But think that this is a scenario relevant to every use of pipedrive.

We have several clients with the same problem.

It has been explained to me that the core issue relates to privacy and perhaps specifically to GDPR. The idea is that a manager should not be able to automate outbound email that was not explicitly initiated by the sender (the salesperson). If the sender sets up automations in her/his own account, it is deemed to be explicit.

In practice, however, every manager just works around this well-intentioned limitation by duplicating the automations in each account. It is inconvenient for the manager, and the "explicit consent" is nebulous.

I recommend that each salesperson be permitted to use company-wide automations, but only after explicitly giving permission for each-and-every-one. Pipedrive can choose to record the IP-address and timestamp to prove authorization was given.

Thanks for clarifying @Stephen Phillips and @Joseph Valenti for chiming in. I'll pass this on to our workflow automation team!

Pipedrive is a great sales pipeline management tool, but I would not try to use their internal email for an automation. It's just not there. And there's so many other great products like mailshake, active campaign, lemlist, etc... that are built for email automation.

Echoing what Stephen has said, it would be great if someone could trigger an email for the deal owner.  The ability to send from email aliases i.e. [email protected] [email protected] [email protected] etc. would also be very useful.
