Following up on our last news about calendar sync, we’ve made some thoughtful improvements to the calendar sync experience in Pipedrive, based on your feedback and needs around visibility, control, and simplicity.

You now have better visibility into your full schedule — including private events — while maintaining complete control over how those events appear to others. Pipedrive does not collect the content of your private events, and you’re always in control of their visibility settings. In summary, these are the main changes:

Private events now visible in Pipedrive (with full control!)

You’ll now see your private calendar events within Pipedrive, giving you a complete view of your schedule. But don’t worry — you decide how these events appear to others. This ensures you never miss a beat, while still keeping sensitive info private.

New setting for Google Calendar’s “Default visibility”

Google Calendar includes a “Default visibility” option for events — but what that actually means depends on your Google account’s overall calendar sharing settings. For example, some events marked as “Default visibility” might show as public or private depending on your Google Calendar setup.

To avoid confusion and give you full control, we’ve added a new setting in Pipedrive that lets you choose how “Default visibility” events should appear after syncing. You can now treat them explicitly as public or private — ensuring no surprises or unintentional sharing.

Simplified one-way sync setup

We’ve removed unnecessary privacy settings for one-way sync (events going from Pipedrive to your calendar). Since these events aren’t pulled into Pipedrive, their privacy is governed by your external calendar, not Pipedrive. This change simplifies the setup process and reduces confusion.

Clearer settings with inline guidance

We’ve improved the settings page with inline explanations for each option, so you can immediately understand what each setting does — no need to check help docs or guess. This makes it easier to configure your calendar sync exactly the way you want.

    @Kristiina Vaab What has happened to the fix for the UTC time error in outlook calendar which you said would be fixed early May? Once again, your calendar is virtually useless unless you are on USA time, which a vast majority of us are not.

    I am a reseller and have not been able to sell a single licence in Australlia due to the issues in Pipedrives calendar.

    @Kristiina Vaab does this fix the problem when 2 way sync creates Pipedrive activities from  my (non sales related) calender events?

    @Jörgen Sjöstrand_231 if you mark the non-sales calendar events as private on your provider side, PD will not create Activities for them, but you can still see the details of these events in the calendar view.

    MBrown the fix is still in development, I'll notify you once it's done.

    Ok, @Kristiina Vaab - but need my work calendar visible to the rest of the organization. This is the old problem, no one want al calendar activities in their Pipedrive - but stil want to be able to use the Scheduler that seem to require 2-way sync to be active so we dont get double bookings.

    @Jörgen Sjöstrand_231 Thanks so much for sharing this — totally hear you. It’s a tricky balance: wanting your external calendar visible to avoid double bookings, but not wanting every non-sales event showing up in Pipedrive. If marking your external calendar events to be private does not work, then the privacy settings on our end are not enough, unfortunately.

    That said, we’re actively exploring how to better differentiate between sales and non-sales events in the sync, so users don’t have to choose between visibility and relevance. Would you be open to a quick chat in the next month or two to share more about how you're currently handling this? It would be super helpful as we shape improvements here.

    This still doesn't work for 2-way sync. Please just let us toggle all external calendar events to be non-activities in Pipedrive. We want Pipedrive to handle sales activities, but pull in external calendar events so that time is blocked off when there is something external scheduled. Every other calendar service does this.

    Calander Sync is great but we only sync Activities that users need to know about on their mobile devices. There are general deal related milestones that we set as activities such as weekly and monthly follow ups. We also just added a Review activity and a Document activity.

    The issue is that any newly created Activity Types default to sync to the Calendar and as admins, we need to disable the syncing per user. Also, by making the default setting "on", we end up with a whole bunch of synced activities that do not get removed when disabling the sync. Worse, deleting those synced activities from Outlook/Google after disabling the sync of that activity type will still delete those activities in Pipedrive.

    The request is to keep Calendar Sync for new activities defaulted to off.
