Extracting Activity Analytics from System

Hello, I am setting up the system to run a primarily field based sales team.  I am looking to be able to extract activity analytics from the system including number of people spoken to (i.e. a count of those within meetings, not just the number of meetings) and a simple way of downloading the notes from meetings so that I can see all of this is one place.  Does anyone know how to set this up?  many thanks
