How do you deal with future deals

Mortgage Broker here. All my clients sign up to review their mortgage 6 months before their current deal ends which means that deal start date is important to me. I create a new deal with the start date (custom field) set to 6 months before the deal end date so I can contact the client to get the review underway.

My problem is however that all these deals are sitting in my the prospect stage of my Mortgages Pipeline and I can't see in the pipeline view when they are due to start and it makes it very difficult for me to find the ones that I need to work on.

What do others do to manage their future deals efficiently?

    I would need additional context but you could do this using Make/Integromat.

    Have you tried using the lead inbox?

    Other solution would be a separate pipeline.

    Josh, thank you I have just started looking at the Lead Inbox. I think it is probably what I need, but just need to figure out how to set it up and for an alert to be issued at certain points in the timeline so that I get notified that it needs working on.

    On an aside: I had tried other CRMs before coming to pipedrive and I have found it the easiest out of all to learn, customise and use. This means that I can track my clients progress quickly and also customise the system as I go and learn what I need to really make pipedrive work for me.

    Good day Diane.

    I am a mortgage broker too (based in Montreal). I also run a Pipedrive consultancy called PipedriveExperts.com.

    The capability you seek is the ONE feature that is most requested by mortgage professionals. It would most elegantly be solved by a new type of automation in Pipedrive. A date-based trigger will (surely one day!) be available to use in Pipedrive automations so that X-days following a Closing Data, or Y-days prior to a closing date, it would be possible to do-something-automatically (typically: send an email with a renewal notice, for example).

    I share your opinion: Pipedrive is great, and I continue to recommend it first to all our mortgage professionals for all the reasons I expect that you know-and-love. I have however been asking for date-based triggers for years (literally) and am still hoping that they will eventually introduce them.

    In the meantime, I can offer a customized process using an external automation tool that does all that you want. We would be looking at a one-time charge of about $4k to get it setup, but thereafter your ongoing cost would be a trival $10/month.

    We've done it before, for our own practice and for numerous others. I would be happy to discuss such a project with you as well.

    Can't you just create a custom activity type for these and use automation to create activity's then trigger on date?

    Thank you for reaching out to me. I'm trying the leads solution to see if that makes my screens less messy and more meaningful. I will, however, keep your offer in mind once I've finished tinkering in the leads section.

    Joe, the problem for me is that the pipeline doesn't allow me to sort the deals in any meaningful order and the list view doesn't let me look at pipeline state by start date so the views are too messy and cluttered for my brain to navigate efficiently. I'm looking at using leads to filter out the future work which is tidying up my pipelines and I think for me will be the way forward for now.
