I am using PipeDrive as my main contact and CRM. I receive leads from 3 sources. I must input these leads manually from the other sources. We would like to develop a flow, pattern of staying in touch without overlapping of follow up, also want to make sure our timing is accurate and on top of the mark. Once we connect with the clients we're required to gather information and bid on the projects. Once we bid on the projects through an platform where those clients come in the clients will either respond accept or be stagnant for some time (we need follow up here for our crm team). if they do agree the quotes are transferred or forwarded to Jobber a dispatch and billing tool for technicians. Any suggestions?

    Several suggestions, actually:

    1. automate lead creation from emails. this can be done with make/zapier and save a bunch of time, especially if you're receiving many leads per day
    2. create a workflow automation for new leads to send out a series of emails: welcome confirmation email, an email to book a time or provide info you need, a follow up if lead goes unresponsive, then archive the lead if nothing happens for, say, 30 days. this will ensure you will be at the top of your prospect's inbox and reduce the amount of open, but dead leads
    3. make email templates and smart doc templates to follow up with quotes quickly
    4. if the data you need to collect is always the same, using webforms is quite efficient. some answers might be used to disqualify leads and send em a polite rejection email. otherwise, a deal can be created automatically, signifying a change from MQL to SQL phase

    This is my flow of leads into our PipeDrive account the Left side are an account called electrum. The right column comes in through our own platform that you can see @ evNation.us. One of the goals I am anticipating is to be able to look at the home page and determine what the status is on every client at a glance. The last is a screen shot of all of our leads but you can't determine who's what and where they are in the process.

    I'd redesign the pipeline to reflect the stages you need to see (New - Job Review - Jobber - Installation Scheduled - Inst Performed - Collect $) and have tasks + linked persons for the actual electricians to see whats missing / oustanding from the flow on the left. Alternatively, you can open projects once a job starts and track electricans / your left flow there. This would be even clearer, but costs a bit extra in monthly fees.

    So, contracts + money collection = deals. job fulfillment = projects.

    Nikolai, my main objective is to have a better follow up process through PipeDrive. The Jobber migration I am comfortable with. I don't have a way to review the individual leads, determine last contact made, have an idea where they are in the sales process without opening the individual lead. Id there any other way to build this? Also can there be an automated follow up proceedure that my staff must follow to be on top of these leads?
