Need Help with event-based automations for selling gigs

Hi everyone!

I'm a bit stuck with setting up automations in Pipedrive and could really use some guidance.

I run an entertainment business and need a simple setup (or at least I think it’s simple). Here’s what I’m trying to achieve:

  1. Event-based automation:
    • I want to set an event date in the calendar and have automations trigger around that date.
    • For example, I’d like to send an email 1 week before the event, another email 2 days before, and then follow up with a thank-you email and a feedback request after the event is over.
  2. Calling potential customers:
    • I already have potential customers’ contact details in Pipedrive. Here’s what I’d like to do:
      • Click a "call" button, have my phone dial the number, and log the call (this part I’ve actually figured out, and it’s working well!).
      • If the customer answers and gives permission, I want to move them to a different deal phase where an email is sent automatically.
      • Based on whether they open that email, I’d like to trigger a follow-up email sequence.

I haven’t found an efficient way to set these up in Pipedrive. Does anyone know how I can achieve this? Any tips or directions would be greatly appreciated!

    Since Pipedrive doesn't natively handle some of these advanced automations (like email sequences based on opens), let's look into workarounds. If they do not work well with your operation and you need more complex logics, integrating with tools like Zapier might help :)

    Event-based automation: you can add a custom date field for "Event Date" in Pipedrive and use WFAs to create triggers based on this date. For example, you can set up automations to send emails 1 week and 2 days before the event. After the event, another automation can send a thank-you email and a feedback request.

    Before the event:

    • Trigger: "Date field is X days away" (select your Event Date field and set 7 days for the first email).
    • Action: Send an email (either through Pipedrive's email system or via an integration with a tool like Mailchimp).

    Repeat the process for the 2-day reminder email:

    • Trigger: "Date field is X days in the past" (select your Event Date field and set 0 or 1 day for thank-you and feedback emails).
    • Action: Send emails or trigger tasks

    Calling potential customers: after a call, if the customer gives permission, you can move their deal to a new stage - and set up an automation so that when a deal enters this stage, an email is sent automatically. To track engagement, you can use email tracking to trigger follow-up sequences if the customer opens the email.
