I have a question about the meeting setup. Right now, my AI answering service automatically sends the scheduling link to callers who want to book an appointment, which is working well. However, most of these people have never filled out a web form and aren’t in Pipedrive. I’d like to have a lead created automatically, but I’m not sure how to set that up in automation.

I appreciate that the meeting scheduler allows for custom fields, which could capture the basic lead information I need. However, I can’t figure out how to use that data when a new activity is created—it just gets plugged in the notes without generating a lead. Any ideas on how to automate this?

Also, for anyone interested, I highly recommend Rosie AI answering service. I forward my 800 number to it, and it does an excellent job answering questions. It also sends a text with my meeting link for easy booking. The only other solution I can think of is having Rosie create a lead whenever a new call comes in, but I worry that might get messy.

Would love any suggestions!

    Hi @Alisha! This sounds like a job for make.com / zapier. The idea is this:

    • either monitor emails (if Rosie sends a confirmation) or your calendar
    • parse the notes containing additional data
    • see if there's an active lead for that person in pipedrive and the person itself
    • create / update lead (and person)

    Its a bit advanced, but manageable. Let me know if you want to discuss our team doing the dev work
