I want to create an automation for our booked activities. If a person has an active deal and they are booked with our team for their next call. I want an email reminder to go to that person the day before their appointment. I have attempted this so many times and it is a big mess. I want the email to come from the person on my team who booked that call, not from me as the admin. I want to see how this would be set up so I can follow it exactly to recreate it in our system. Since we are not allowed customer service phone calls and there are no videos showing how to do this please help.

    Hello @nkm2442_,

If you record these calls as Activities in Pipedrive, we could use the Date Trigger to automate the process. We can also share an example setup below, which can be transferred to your account to match your workflow:

    To break down each step:

    1. The trigger would be based on the activity due date, and I have set it to be triggered one day before the due date at a specific time. You would not need to make many changes other than choosing the time you would choose the time at which the automation should be triggered. If you set it at 10:00 AM, the automation will be executed at 10:00 AM the day before the due date.
    2. We would need to apply some form of a filter to identify the activity. It could be based on the Activity subject line, activity type, etc. If you use any unique subject to distinguish these activities, those can be used here.
    3. Finally, to send an email, you can use the send email action step, select the activity contact person as the recipient, and create the subject and body using the available merge tags.

Now, assuming the person who booked the call is the activities-assigned user in Pipedrive, you can share the automation with all the users who could potentially set up these calls by using the "manage access", and once you have provided the access, each user would need to navigate to their automation section and simply enable it for them.

Once it is active, the automation will be executed from the respective accounts, and the email will be sent through the email address synced through their respective accounts.
