Automate Activities BEFORE a certain date

I would love to be able to set a custom field deadline (or even the closing date) and then be able to schedule an activity to happen x number of days before that date.  Maybe it's to check in to make sure the closing is going as scheduled.

    Hey @Antonio and @Colin Krieg , were you able to find a way to do this? I can’t find anything and think I’m going to have to create an software app just to solve this issue.

    Julius hello! Yes, I found a way, it is a bit cumbersome but works. Basically you have to create a rule so that whenever a date field Zchanges value, it creates an activity automatically with a specific value X on location.  Then create a filter that shows those activities with value X on location created that day... Then on zapier you can detect whenever an activity is added to that filter (trigger when activity matches filter) and, in that instance, trigger the creation of an activity X time before the date value of Z. Hope this makes sense.

    @Antonio AAaaah I think I understand so you solely create an automatic activity for creating another activity that is x days before renewal. How do you ensure that the date value for field z is always changing?

    Also, doesn't this result in a lot of clutter activities?

     

    Basically, I was tasked to create an automation that creates an activity 90 days before a renewal date. I can't find a native way of doing it and even with zapier I don't see a trigger that would make sense so the only solution I think that's "clean" is with a little app that checks every day if there are upcoming renewals and create the task and associate it with the lead and assign it to a rep.

    You are welcome! Although the set up is cumbersome, it solves the problem for sure. And you can even set different activities one 90 days before, another 60 days before etc...  First create renewal date field. Then create pipedrive automation, when renewal date changes, then a task is created with due that the "renewal date filed" and location "ZapierRenewalTrigger" or whatever you want. Then create an activity filter named "Zapier Create New Tasks" that shows all activities whose location contains "ZapierRenewalTrigger" AND the subject does not contain "zapok"... then in Zapier trigger "activity matching filter" when an activity matches your filter "Zapier Create New Tasks",  then Update activity the activity with ID matching the activity triggered... on the update change the subject to whatever you want  + "zapok"... then 3rd step is to find organization in pipedrive whos ID matches the one from step 1, then create the activities you want for that company wiuth a due date X days before the "Renewal date value". That's all! All tasks are clean, there's no duplication, all works great. Hope it helps!

    @Julius Gonzalez - I would be interested to know how you solved this issue on your end? I am having a very similar issue - we need to set several activities and reminders that occur a few weeks prior to an installation date and can only get triggered once the installation date is known. Very much appreciate your response.
