Project tasks in Automation to create Activities in Project?
Good evening Pipedrive Community,
we have the challenge that we want to create an automation that look into the projects and if a task is checked as done with a defined title, it create a new activity in the project. Is it possible?
We look into the Automation Dashboard and only see Projects or Activitys as Triggers but no "Task in Projects" are updated.
Does we look into wrong Trigger?
Thanks and greetings
Christian

Hi Christian,
Good question! Currently, in Pipedrive’s Automation Dashboard, tasks within Projects aren’t available as direct triggers, which is likely why you’re not finding the option you're looking for.
However, there's a workaround using Zapier that might help. Zapier can track changes to tasks and create activities based on specific conditions. Here’s a step-by-step guide on how you can set this up:
- Set Up a Zap in Zapier:
- Choose Pipedrive as the app and select New Project or Updated Task as the trigger. This will monitor your project tasks for changes.
- Add a Filter:
- You can add a filter to check for specific task titles and ensure they’re marked as "Done." Zapier allows you to continue only if this condition is met.
- Create an Activity:
- In the action step, set it to Create Activity in Pipedrive, and make sure to link the new activity back to the relevant project, assigning due dates and other details as needed.
A Few Things to Keep in Mind:
- Task Titles: Consistency in naming your tasks is important since the automation relies on matching the title. If your task names vary, you may need to tweak this approach.
- Task Status: This workflow is triggered by the task being marked as "done," so your team will need to stay on top of updating task statuses in Pipedrive.
After setting this up, be sure to test it by marking a task as done and confirming that the activity gets created correctly in your project!
Hope this helps!
